Preparation Suggestions for Workplace Contingency Planning:
  1. Install emergency lights that turn on when the power goes out.
  2. Back up computer data frequently throughout the business day. Keep backup tapes off site. Assign key employees the responsibility of storing operational data and necessary information on removable memory sticks. Select employees should house the memory sticks, taking them from the office when they leave. One possibility is for employees to store memory sticks in their briefcase.
  3. Use only UL-listed surge protectors and battery backup systems.
  4. Store a NOAA Weather Radio with tone alert function in a central location on each floor of the facility. Keep it on at all times and ensure that employees are aware and can recognize the tone or signal sounds alerting information about severe weather and protective actions.
  5. Designate a remote phone number on which you can record messages and communicate information using either a voice mail system at your facility or outside line. Distribute the designated number and instructions to employees, customers and vendors.
  6. Set up a telephone call tree or password-protected page on the company website to communicate with employees in an emergency.
  7. Distribute copies of phone/contact lists consisting of key employees, customers and vendors. Be sure to include both home and cell phone or additional contact numbers and provide copies to key staff members, customers and vendors.
  8. Add or incorporate a remote call forwarding feature for your main business line(s) allowing calls to be remotely re-routed in case inability to travel to or enter the workplace facility occurs.
  9. Maintain an offsite minimum supply stock of the products, materials and equipment your company would need for business continuity.
  10. Have an emergency evacuation plan in place and keep emergency supplies handy, including flashlights with extra batteries, first aid kit and supplies, bottled water, basic tools, towels or blankets and disaster recovery or emergency action plan complete with emergency contact information.
